A useful knowledge library helps people find a dependable starting point. Its value comes from a few clear habits: keep it organised, connect notes to their sources and make updates easy.
Start with questions you already answer.
Collect the questions that recur in your team. Give each note a specific title that matches the words someone would search for.
Separate sources from working notes.
Link to the original publisher and record when you checked it. Keep your own process notes clearly labelled so a reader can distinguish them from official guidance.
Choose a simple structure.
Organise around the work: enquiries, consultations, client communication, internal processes and professional learning. Add a category only when it makes something easier to find.
Give each useful note an owner.
Record who can update a note and make it easy to flag something unclear or out of date. Keep old versions out of the everyday search experience.
Improve the library while using it.
When someone cannot find an answer, add the search words they used to the relevant note. A library becomes more useful through the questions people bring to it.
These notes offer general ideas for organising and developing a practice. For official professional requirements, consult OMARA’s guidance ↗.
